The Administrative Assistant supports the Vice President of Institutional Effectiveness and Accreditation and coordinates the Office’s internal correspondences and assessment activities across all areas of the University as shown in the Office’s annual plan. The Administrative Assistant is expected to manage the university’s correspondences with the Higher Education Council (HEC) and Education amp; Training Quality Authority (BQA).
Duties and Responsibilities include:
- Provide administrative support to the Vice President of Institutional Effectiveness and Accreditation.
- Schedule, plan, and coordinate work actions of the VP of Institutional Effectiveness amp; Accreditation.
- Coordinate with the Academic Administrative Assistant of the Colleges to ensure that the internal moderations are conducted, and course files are completed in a timely manner.
- Manage and direct, where needed, the Institutional Research (IR) Office’s email box.
- Manage the in and out communications with the Higher Education Council (HEC), follow up with actions and ensure that the required information is communicated to the HEC at a high quality and timely manner.
- Manage the in and out communications with the Education amp; Training Quality Authority (BQA), follow up with actions and ensure that the required information is communicated to the HEC at a high quality and timely manner.
- Mange the IR Office page on the SharePoint and ensure that the posted information is up to date.
- Follow up with collecting data, information, and documents requested from different parts of the university and ensure that these are complete and are submitted in the agreed-on format.
- Support the work of the different units reporting to the VP of Institutional Effectiveness and Accreditation as needed.
- Provides administrative support by scheduling appointments, coordinating meetings and conferences, and maintaining and ordering office supplies.
- Other duties as assigned by the VP of Institutional Effectiveness amp; Accreditation.
Requirements
Qualifications and Experience required:
- BSc in Management Information System or BBA in Management.
- No minimum professional work experience is required.
Skills and Competencies required:
- Professional in using the standard MS Office tools, including Excel.
- Good oral and written communication skills, both Arabic and English.
- Good time management.
